For the coordination of our project, we use Skype as a conferencing tool. Instead of having one person keep notes and later publish a report of the meeting, we use a web-based wordprocessor : www.writely.com. Everyone adds his own notes, comments, action points, etc... so that afterwards, there is very little editing to do and we have a report which is as good as finished the second the meeting ends.
Sounds like something which could maybe help in the process which you descibe here.

Sounds great. Amazing, how many different recombinations and applications of relatively simple functionalities are possible, leading to very different patterns of collaboration. BTW, Writely does not accept any new users for now, but I am looking forward to try it out.
